All 15 apps, each doing one job
A calling team does the same few things all day: get a lead, call, note what happened, call again, collect the fee. Each of those is its own small app. Open a lead and you see all of them for that one person.
Getting leads in and calling them
Every enquiry in one list.
- Each lead has a name, a phone number, what they asked about, where they came from, a stage and one owner.
- A phone number can be a lead only once. An import skips the repeats and tells you how many it skipped.
- New leads go to your callers in turn, unless you switch that off.
- Callers see only their own leads. The owner and managers see everyone’s.
Three honest ways in.
- Import an Excel or CSV file.
- Point your website form at a secret address that belongs to your company.
- Send leads from any tool that can post a webhook.
- Repeats are counted, not added twice.
Facebook, IndiaMART, 99acres, MagicBricks and JustDial are not connected. Download the leads there and import the file here.
Calling lists, in order.
- Make a list from leads that match a stage, a source or what they asked about.
- Put callers on the list. Each caller gets their own leads first.
- See how many are called, connected and won.
- A lead marked Do not call is never put on a list.
This is a list your callers work through one by one. It is not bulk calling: every call is still one person tapping Call.
Who called whom, for how long.
- Every call with its time, its length and what happened.
- Calls from the Android app are read from the phone’s call log and say so. Calls typed in on the portal say “Typed in”.
- A manager can give any call marks out of 5.
- The same list downloads to Excel.
Staying on every lead
Nothing missed today.
- Every open lead has a next follow-up with a date, a time and what it is about.
- Late ones sit on top in red.
- A call closes the follow-up it answers and asks for the next one.
- Nobody picked up? A follow-up is made for the next day by itself.
Demo classes, site visits, appointments.
- Book a visit from the lead’s page.
- A reminder follow-up is made 2 hours before.
- Mark it Came, Did not come or Cancelled.
- Did not come makes a follow-up for the next morning.
Saved messages, opened in one tap.
- Write a message once with blanks for name, course, balance, company and caller.
- One tap opens the caller’s own WhatsApp with the text filled in. The caller presses send.
- The lead’s history shows the message was opened.
- Nothing to pay us for WhatsApp.
We do not send WhatsApp messages for you and there is no bulk sending. A shared team inbox on a business number is not ready yet.
Ask the right things after a call.
- One short form per stage.
- It is asked when a call moves a lead into that stage.
- Mark an answer as needed and the call cannot be saved without it.
- The answers stay in the lead’s history.
Follow-ups that make themselves.
- Four plain rules, each with its own switch.
- Try again the next day when nobody picks up.
- First call a set number of minutes after a new lead, inside calling hours.
- A balance reminder some days after a part payment, and an optional give-up rule.
These are fixed rules that you switch on or off. Nothing here guesses or decides on its own.
Fees and money owed
Receipts and part payments.
- Enter the money you received and how it came: cash, UPI, bank.
- A part payment moves the lead to Part paid. The full fee moves it to Won.
- A payment cannot be more than the balance.
- Print a receipt from the same screen.
Pay links and payment gateways are not connected. You collect the money your usual way and enter it here.
Call for money that is owed.
- Add what is outstanding by hand or from an Excel or CSV file.
- After a collection call pick Promised, Part paid, Paid, No answer, Call later or Dispute.
- A promise needs a date. When the date passes it shows as a broken promise.
- A dispute needs a note.
Renewals, instalments, repeat orders.
- A won lead becomes a customer by itself.
- Give a customer due dates: an instalment, a renewal, a repeat order.
- A due date can repeat every few months.
- Marking one done makes the next one.
Running the team
Know who is really calling.
- Leaderboard by calls, connected calls, talk time, won leads and fees.
- First call and last call of the day for each caller.
- How long new leads waited for their first call.
- Targets for calls, won leads and fees, and the leaderboard in Excel.
Logins, and who sees what.
- Three roles: owner, manager, caller.
- Choose which apps each login opens.
- Switch a login off and that person is logged out at once. Their leads and open follow-ups move to you.
- Every change is written to a log that cannot be edited or deleted.
Your words, your hours.
- Your own stages, call outcomes, sources and lost reasons.
- Calling hours and a daily call limit per caller. Outside them the Call button is off.
- What to say at each stage, shown to the caller before the call.
